RotorAgent.ai — Privacy & Data Policy

This is how we handle your shop's data: what we collect, how we use it, what we share,
and the control you keep. If anything here is unclear, ask us.
1. What we collect
Equipment and repair data. For each job you enter: the job ID, nameplate data
(make/model, HP, voltage, RPM, frame, enclosure), condition photos, your answers to the
symptom questions, bench and field test readings (insulation resistance, polarization
index, surge, winding resistance, temperatures, vibration), any free text notes, and,
when entered later, teardown findings and the confirmed root cause.
Your corrections. When your expert edits or confirms a draft, we record the original
draft and the corrected version.
Account and shop data. Your shop name, login credentials, and basic usage timestamps.
What we do not require. We do not need your end customers' names, addresses, phone
numbers, or any payment information. Free text fields are yours to fill. If you type a
customer's name into a note it is stored as you wrote it, so keep free text
equipment focused if you would rather it not appear.
2. How we use it
To run your RotorAgent. Your past jobs are what ground a new one. The tool gets
sharper the more your shop uses and corrects it.
To improve the diagnostic models. We use repair data and corrections across shops to
improve the underlying models, the failure taxonomy, and the accuracy of estimates.
What that does not include. Improvements are built from the technical patterns in
repair data: equipment types, failure modes, what fixes what, how long it takes. Not from
your business identity. We do not expose your shop's name, pricing rules, margins, or
customer relationships to other shops. Another shop's RotorAgent never sees your records,
your prices, or who your customers are.
3. What we share
- We do not sell your data.
- We do not expose your shop's identity, pricing, or customer information to other
shops or to the public.
- Service providers we rely on:
- *Hosting and database* (Render, Supabase). Stores your data on our behalf.
- *AI reasoning* (Anthropic). Job text is sent to generate a draft and is not retained
to train their public models under their commercial terms.
A current list is available on request.
- Legal. We may disclose data if required by law.
4. Your control
- Export. You can request a full export of your shop's records at any time, in a
standard format.
- Deletion. You can ask us to delete your shop's data. We will remove your
identifiable records and account information.
- Opt out of cross shop improvement. Tell us and we will honor it. Your own
RotorAgent keeps working from your own history either way.

5. Security
Data is encrypted in transit and at rest. Access is restricted to authorized RotorAgent
personnel. Each shop's records are isolated from other shops' records in our database.
6. Limits
RotorAgent produces draft assessments and estimates for an expert to confirm. It is not a
substitute for teardown, inspection, instrument testing, or professional judgment, and we
do not guarantee the accuracy of any draft. Final diagnostic, repair, and pricing
decisions are the shop's.
7. Changes
If we change this policy in a way that materially affects how we use your data, we will
tell you.
